AI system: regulatory information
This page describes the Vernelys features that rely on artificial intelligence, the models behind them, their limitations and the part that remains yours when you use them. It is the page the “Learn more” link in our applications' banners leads to.
In accordance with Article 50 of Regulation (EU) 2024/1689 on artificial intelligence, you are informed that some Vernelys features make you interact with an AI system and that part of the content they produce is generated automatically. Check this content before using it.

Provider
The features described here are provided by VERNALYS SOLUTIONS, a French SAS trading as “Vernelys”, whose registered office is at 2 rue Docteur Horand, 69009 Lyon, France. VERNALYS SOLUTIONS publishes the Vernelys platform and Office add-ins and is responsible for their compliance. Contact: contact@vernelys.com.
Features concerned
Only the features below use an artificial intelligence model. Everything else in our applications works without AI, through written and verifiable rules.
Excel add-in
The AI Assistant, Invoice Sampling, Document Matching and VAT Audit. The other tools of the add-in (formula audit, shortcuts, PDF management, formatting) do not use any AI processing.
Word add-in
The AI Assistant, which drafts or rewords passages of the open document. The template and style library, shortcuts and formatting do not use any AI processing.
Outlook add-in
The Assistant, which drafts a reply from the open message, shortens it, changes its tone or corrects the text you have just typed. The shared prompt library does not use any AI processing.
Platform
The chat, the document agents (reading, extracting and filing documents), meeting transcription and the drafting of meeting summaries and minutes.
Purpose and intended use
These features support administrative, accounting and audit work: extracting data from documents, matching entries, helping to handle workbooks, drafting texts and meeting summaries. They are a production aid and replace neither your professional judgement nor the due diligence incumbent upon you.
They are not designed to form an audit opinion or to support a decision enforceable against a third party.
Technologies used
Office add-ins
The assistant's model is chosen in its pane: the selected brand and the requested reasoning level together determine the model called.
- OpenAI : GPT-5.4 and GPT-5.6 Terra (GPT-5.1 as fallback).
- Anthropic : Claude Opus 4.6 and Claude Sonnet 4.6.
- Mistral AI : Mistral Large 4.
- Google : Gemini 2.5 Pro and Gemini 2.5 Flash.
- Vernelys sovereign offering : Qwen3.5-397B-A17B.
Document extraction is performed by Azure AI Document Intelligence (prebuilt invoice, read and layout models). The other AI features of the Excel add-in use OpenAI.
The assistant's web search, when enabled in its pane, relies on Google Search when the selected model is Gemini, and on the Linkup search engine for all other models.
Platform
The chat offers several model providers for the user to choose from: Mistral AI, Google (Gemini), OpenAI (ChatGPT), Anthropic (Claude) and xAI (Grok). Text recognition in documents and meeting transcription are performed by Mistral AI. Web search, when enabled, goes through the Linkup search engine.
Model versions may change without this notice being amended. None of these providers uses your content to train its models.
Known limitations
Results are probabilistic: amounts, dates, descriptions, accounts, formulas or texts may be wrong, incomplete or made up. The risk increases with poor-quality, handwritten, multilingual or unusually laid-out documents.
No result should be reused without being checked by a competent person.
Human oversight
- Any change the AI assistant proposes to your Excel workbook requires your explicit approval before it is applied, and can be undone.
- In Word, the assistant proposes each passage before writing it: this is the default setting. If you allow it to write directly, Word's undo takes back everything it has written.
- In Outlook, the reply is placed in a draft: nothing is sent without your action.
- Document extractions are presented for review before being written to a sheet or filed.
You remain in control of the result at all times and can interrupt processing in progress.
Data processed
Office add-ins
Documents and extracts submitted to these features are sent to the Vernelys analysis service, hosted on Microsoft Azure in France (France Central region). The OpenAI, Claude, Mistral and Gemini models are then run within the European Union; those of the Vernelys sovereign offering, in France.
The assistant's pane shows the place of processing next to the selected model.
When web search is enabled, the query written by the model is sent to the search engine: Google Search when the selected model is Gemini (Google is then already the model's recipient), the Linkup engine in all other cases, which then becomes a separate recipient. Your document itself is never sent to the search engine, and the option stays off until you turn it on.
Content is processed for the duration of the request and is not recorded in the service's database. Only licence information and aggregated usage counters are kept there, the latter for 60 days. Conversations with the assistant are not stored server-side: the conversation history stays in your Office session.
Platform
Platform data is hosted and stored in France. Models are called on endpoints restricted to the European Union, with one exception: xAI (Grok), which has no European region, processes your request in the United States when you choose this provider. Your administrator can remove it from the list offered to your users.
Details of recipients, transfers and retention periods are set out in our privacy policy.
No automated decision-making
No decision producing legal effects or similarly significantly affecting you is taken automatically by these features. Any conclusion drawn from the results is the user's.
Questions and complaints
For any question about how these features work, to obtain an explanation of a result, or to report a malfunction, use the application's “Contact us” tab or write to contact@vernelys.com.
